Privacy Notice
Effective 7 September 2026 · Version 2026-09-07
This notice explains how Vatzapp, operated by VATZAPP TECHNOLOGIES (PTY) LTD (registration number 2026/714720/07), handles personal information when you use the service or ask about a pilot. It is written to support the Protection of Personal Information Act, 2013 (POPIA); it is not a claim that every firm’s use is automatically compliant.
1. Roles in the workspace
For client documents and contact information loaded by a firm, that firm generally determines the purpose and means of processing and remains responsible for its own legal obligations. Vatzapp processes that information to provide the workspace and on the firm’s instructions. For Vatzapp account, security, and pilot-enquiry information, Vatzapp determines the purpose of processing described in this notice.
2. Information we handle
This can include account and team details, firm and client contact details, documents and their extracted metadata, WhatsApp message and delivery records, workspace activity, and pilot enquiry details. We collect only the information needed for the stated workflow or enquiry.
3. Why we use it
We use information to create and secure accounts, operate document collection and review, send authorised reminders, provide support, prevent misuse, maintain audit trails, and respond to pilot enquiries. Firms decide the lawful basis for their own client data and communications.
4. Service providers and international processing
We use providers for hosting, storage, messaging, authentication, and document processing. Depending on the provider and configuration, information may be processed outside South Africa. We seek providers and safeguards appropriate to the service, but firms should assess their own cross-border and contractual obligations before using the pilot with client data.
5. Retention, deletion, and security
Original documents are retained according to the firm’s workspace settings and deletion workflow. Vatzapp uses firm-scoped access controls, private storage, and audit records, but no online service can guarantee absolute security. Keep your account credentials and MFA device secure, and report suspected misuse promptly.
6. Your choices and questions
Firm users should first contact their firm for requests about client documents or contacts. You may use the pilot contact form for questions about Vatzapp account or pilot information. You may also contact South Africa’s Information Regulator about privacy concerns.
7. Updates
We may update this notice as the pilot and service develop. A new version will be presented before a firm is created where acceptance is required.
